March 14, the phone will not stop, and every new client still gets a time.
The agent answers as your firm, asks what the caller needs and by when, lists the documents to bring, and books the consultation. It gives no tax, accounting or investment advice. The advisor sees the facts before the meeting.
Made for: CPA and bookkeeping firms · Tax preparers · Financial planners and advisors · Payroll and small business accountants
Owns a two-person design studio and needs an S-corp return filed by March 16. The agent collected the entity type, the prior preparer, and that she has not filed an extension. She asked whether she can still deduct her home office; the agent said an advisor would answer that and booked Monday at 9:30 am, read back. She will bring last year's return and her bookkeeping export.
- Assign an advisor for Monday at 9:30 am
- Decide whether to file an extension for Mei before March 16
An example. The names and numbers are invented; the shape is what every call produces.
An AI receptionist for accountants and financial advisors
A call center cannot tell a client what to bring or when the deadline is. An AI receptionist for accountants has to have your checklist and your list of due dates, and this one does. It takes the intake, gives no advice, and books the consultation. The questions that need a professional reach one with the facts written down.
- Tax season calls go to voicemail while every desk is heads-down.
- "Can you just tell me if I can deduct it?" asked of whoever answers.
- New client inquiries that nobody logs the same way twice.
- Current clients calling about a document you already have.
- Answers as your firm, by name, within two seconds.
- Takes the new client intake: what they need, the deadline, the entity type, and how they found you.
- Gives no tax, accounting or investment advice. It books an advisor to answer the question.
- Books the consultation: a day and time, read back, with the caller's name and number.
- Tells callers what documents to bring, from the list you typed.
- Emails you a summary after every call, and calls a client back when you ask it to.
What it knows about accounting & financial advisors.
Your services as a CSV: service, starting fee, who it is for.
Hours, filing deadlines, document checklists, and what to say about fees before the first meeting.
Rules you give it in the dialogue, like "no new tax clients after April 1".
The jobs it can take for accounting & advisors.
One role per line. Two jobs, two agents, one desk.
Takes the new client's needs, deadline and documents for an advisor to review, with no advice given.
Books the consultation with an advisor, a day and time, read back, with what the meeting is about.
Routes the call: a new client, a current client, a message, or an advisor.
A call of the same kind.
Straight answers.
How does it know my inventory, my prices and my hours?
You give it three things. A spreadsheet, exported from your system as a CSV, with up to two thousand rows; it recognises the columns by name. Up to twenty pages from your own website, which it reads when you add them and re-reads every day. And typed policies: hours, financing, cancellation, anything you would tell a new hire. You can also tell it things in the dialogue, and each one becomes a standing rule.
What happens when it does not know the answer?
It says so, tells the caller someone will follow up, and writes the question down. Every question it could not answer is in one list on your desk, so you can add the fact once. It never invents a price, an hour, a stock number or a policy.
Can it book appointments?
Yes. It offers the nearest times from the windows you set, takes the day and time, reads it back, and records the booking with the caller's name and number. The booking lands in your inbox and on your desk. It does not yet write to Google or Outlook calendars, so your team confirms it in whatever you use today.
Can it put a caller through to a person?
Yes. When a caller is ready, the agent rings a person on their mobile and connects them. You choose who: one person, a team that takes turns, or a schedule by day and time with a fallback. If nobody picks up, the agent takes the caller's name and number and promises a call back.
Can it take a card or a deposit?
No. The agent never reads out or takes a card number, and never agrees to a charge. Payments stay in the tools you use today. A booking or a lead is the most it commits you to.
