- Answers as your assistant, says who it is, and takes the details a good assistant would.
- Calls people back when you ask it to, and opens by saying who is calling and why.
- Writes down amounts, dates, options and the next step, not just a name.
- Takes instructions from you in the dialogue: what to say, who to call, what it may promise.
- Emails you a summary after every call.
Your own line, answered when you cannot.
Give out the number, or forward the calls you miss. Callers reach an assistant that knows who you are, takes real notes instead of "please call back", and calls people for you when you ask. Every call ends as a written summary.
$4,850 installed, permit and haul-away included, price good for 30 days. Earliest start is Monday the 21st. One decision is open: the recirculation pump, an extra $600. The assistant said you would call back by tomorrow.
- Decide on the recirculation pump
- Call Marco back by tomorrow
An example. The names and numbers are invented; the shape is what every call produces.
An AI executive assistant that answers calls and makes them
Missed calls on a personal mobile turn into "please call back" with nothing else. An AI executive assistant that answers calls has to take real notes and know who you are. This one writes down amounts, dates, options and the next step, calls people back when you ask, and opens by saying who is calling and why.
- "May I tell them who is calling?"
- "What is this about, so I can pass it on properly?"
- "Is there a deadline on that?"
- "What is the best number to reach you on?"
One question at a time. Numbers read back.
- A summary in your inbox
- A call placed for you with what was agreed written down
- A message with the one decision that is yours
And always: a written summary in your inbox.

What happens when it does not know the answer?
It says so, tells the caller someone will follow up, and writes the question down. Every question it could not answer is in one list on your desk, so you can add the fact once. It never invents a price, an hour, a stock number or a policy.
Can it book appointments?
Yes. It offers the nearest times from the windows you set, takes the day and time, reads it back, and records the booking with the caller's name and number. The booking lands in your inbox and on your desk. It does not yet write to Google or Outlook calendars, so your team confirms it in whatever you use today.
Can it put a caller through to a person?
Yes. When a caller is ready, the agent rings a person on their mobile and connects them. You choose who: one person, a team that takes turns, or a schedule by day and time with a fallback. If nobody picks up, the agent takes the caller's name and number and promises a call back.
Does it pretend to be human?
No. It speaks as your business and says it is an AI whenever anyone asks. People are more helpful when they know.
