Your plans and prices as a CSV: plan, monthly price, sign-up fee, what it includes.
Every "what does it cost" call, answered and turned into a tour.
Give it your plans and your class schedule and the agent answers prices, hours and what is on at six, books the tour, and takes the lead. The front desk stays with the members in front of it.
Made for: Independent gyms and health clubs · Boutique studios: yoga, cycling, pilates · Strength and functional training gyms · Martial arts and boxing gyms
Asked what a membership costs and whether there is a morning spin class. The agent quoted the two plans from the price list, $39 and $59 a month, and read the 6:15 am spin slot from the schedule. Jordan wants to see the gym before deciding; booked a tour Tuesday at 5:30 pm and read it back. He asked whether the sign-up fee is ever waived.
- Have an advisor meet Jordan at the desk Tuesday at 5:30 pm
- Decide what to say about waiving the sign-up fee
An example. The names and numbers are invented; the shape is what every call produces.
AI phone answering for gyms and health clubs
A generic answering service does not know what your unlimited plan costs or when spin starts. AI phone answering for gyms has to. This one quotes the price on your list, reads the schedule from your own page, and books the tour. The caller who hung up on voicemail becomes a name, a number and a time on your desk.
- Calls during the 6 pm rush go to voicemail and never come back.
- "What does a membership cost?" answered from memory, and differently by each person.
- Class times asked all day while the schedule sits on your website.
- Tour requests written on a sticky note at the desk.
- Answers as your gym, by name, within two seconds.
- Quotes your plans and prices from the list you gave it, and says what each includes.
- Reads class times and hours from your schedule page, re-read every day.
- Books the tour: a day and time, read back, with the caller's name, number and goal.
- Takes the lead when the caller wants to think about it, with the plan they asked about.
- Hands a ready caller to a membership advisor on their mobile, and emails you after every call.

Straight answers.
How does it know my inventory, my prices and my hours?
You give it three things. A spreadsheet, exported from your system as a CSV, with up to two thousand rows; it recognises the columns by name. Up to twenty pages from your own website, which it reads when you add them and re-reads every day. And typed policies: hours, financing, cancellation, anything you would tell a new hire. You can also tell it things in the dialogue, and each one becomes a standing rule.
What happens when it does not know the answer?
It says so, tells the caller someone will follow up, and writes the question down. Every question it could not answer is in one list on your desk, so you can add the fact once. It never invents a price, an hour, a stock number or a policy.
Can it book appointments?
Yes. It offers the nearest times from the windows you set, takes the day and time, reads it back, and records the booking with the caller's name and number. The booking lands in your inbox and on your desk. It does not yet write to Google or Outlook calendars, so your team confirms it in whatever you use today.
Can it put a caller through to a person?
Yes. When a caller is ready, the agent rings a person on their mobile and connects them. You choose who: one person, a team that takes turns, or a schedule by day and time with a fallback. If nobody picks up, the agent takes the caller's name and number and promises a call back.
Can it take a card or a deposit?
No. The agent never reads out or takes a card number, and never agrees to a charge. Payments stay in the tools you use today. A booking or a lead is the most it commits you to.
