Your menus, hours and private dining pages, re-read every day.
Friday at seven, a full dining room, and every call still answered.
Give it your menu and hours pages and the agent answers what is on tonight and when you close, takes the reservation with a name and a number, and sends a private event inquiry to a manager with the date and the headcount already written down.
Made for: Restaurants and bistros · Event venues and banquet halls · Caterers · Bars and breweries with private rooms
Asked whether the private room can seat forty for a rehearsal dinner on June 14. The agent said the room seats up to forty-five, from the private dining page, and quoted the $2,500 minimum. Dana wants a set menu around $75 a head and a manager to call her tomorrow morning. The agent noted a 6:30 pm start and her number.
- Call Dana tomorrow morning with set menu options near $75 a head
- Hold the private room for June 14 until she decides
An example. The names and numbers are invented; the shape is what every call produces.
AI phone answering for restaurants and event venues
An answering service can take a name. It cannot say whether the private room seats forty or what the minimum is on a Saturday. AI phone answering for restaurants has to read your own pages and your event sheet, and this one does. It takes the reservation, writes the event inquiry down with the date and the headcount, and puts a big party through to a manager.
- The phone rings during the dinner rush and the host stand lets it go.
- "Are you open on Monday?" asked more than any other question.
- A rehearsal dinner inquiry left on voicemail, found on Tuesday.
- Reservations taken on a napkin at the stand.
- Answers as your restaurant, by name, within two seconds.
- Takes the reservation: party size, a day and time, read back, with a name and number for the host stand.
- Answers menu, hours, parking and dress code from your own pages, re-read every day.
- Takes the private event inquiry: date, headcount, the room, the budget, and when to call back.
- Hands a large party or an event caller to a manager on their mobile.
- Emails you a summary after every call, and calls a guest back to confirm when you ask it to.
What it knows about restaurants & event venues.
Your event packages as a CSV: room, capacity, minimum, what is included.
Hours, reservation limits, large party policy, corkage, and what to say about allergies.
Rules you give it in the dialogue, like "no parties over eight on Saturdays".
The jobs it can take for restaurants & venues.
One role per line. Two jobs, two agents, one desk.
Takes the reservation with party size, a day and time, a name and a number, and reads it back.
Takes the private event or catering inquiry: date, headcount, the room, and a manager calls back.
Routes the call: a reservation, an event, hours and menu, a message, or a manager.
A call of the same kind.
Straight answers.
How does it know my inventory, my prices and my hours?
You give it three things. A spreadsheet, exported from your system as a CSV, with up to two thousand rows; it recognises the columns by name. Up to twenty pages from your own website, which it reads when you add them and re-reads every day. And typed policies: hours, financing, cancellation, anything you would tell a new hire. You can also tell it things in the dialogue, and each one becomes a standing rule.
What happens when it does not know the answer?
It says so, tells the caller someone will follow up, and writes the question down. Every question it could not answer is in one list on your desk, so you can add the fact once. It never invents a price, an hour, a stock number or a policy.
Can it book appointments?
Yes. It offers the nearest times from the windows you set, takes the day and time, reads it back, and records the booking with the caller's name and number. The booking lands in your inbox and on your desk. It does not yet write to Google or Outlook calendars, so your team confirms it in whatever you use today.
Can it put a caller through to a person?
Yes. When a caller is ready, the agent rings a person on their mobile and connects them. You choose who: one person, a team that takes turns, or a schedule by day and time with a fallback. If nobody picks up, the agent takes the caller's name and number and promises a call back.
Can it take a card or a deposit?
No. The agent never reads out or takes a card number, and never agrees to a charge. Payments stay in the tools you use today. A booking or a lead is the most it commits you to.
